Best You Group
Privacy Policy
Last updated 1 October 2026
This privacy policy applies to Best You Group and every brand and website in the group. It explains what personal information we collect, why we collect it, how we use and share it inside the group, and the rights you have. We have written it so the same policy can sit on all of our websites.
1. Who we are
“Best You Group”, “we”, “us” and “our” mean the Best You businesses that trade under these brands and websites:

2. One group, one set of records
Our brands work together. When you give your details to one of our websites, at one of our academies or salons, or at an event such as Professional Beauty, those details are held by Best You Group and can be used by the other brands in the group for the purposes in this policy. In practice this means:
- We keep one marketing list for the whole group, run through a single Mailchimp account. If you agree to hear from us, you may receive emails from any Best You brand, based on what you told us you are interested in.
- If you are already a student, customer or client of one brand, another brand may see that so we can help you properly, for example a course you booked when you buy a machine that needs that qualification.
- You only need to unsubscribe once. Unsubscribing from one Best You email removes you from marketing across the group.
We never sell your personal information, and we never pass it to businesses outside Best You Group for their own marketing.
3. What we collect
- Contact details: name, email address, mobile and landline numbers, postal and billing addresses.
- Your interests and role: for example whether you are a student, therapist, clinic owner or trainer, and which courses, products or services you want to hear about.
- Orders, bookings and enquiries: what you buy, book or ask us about, delivery details and correspondence.
- Training records: course enrolments, attendance, assessments, certificates, and the identification and qualification evidence awarding bodies such as VTCT and ITEC require.
- Client and treatment records: if you are a client of our salon or a model on a course, the consultation, consent and treatment information needed to treat you safely. Some of this is health information, which we handle with extra care (see section 5).
- Event and website records: how you joined (for example the QR code you scanned at an event), your event pass code and whether you collected an offer, your consent and when you gave it, and log-in records.
- Technical information: IP address, device and browser type, and cookies (see section 10).
We do not store full payment card numbers. Card payments are handled by our payment providers.
4. How we use it, and our lawful bases
| What we do | Lawful basis under UK GDPR |
|---|---|
| Process orders, bookings, courses, treatments and deliveries; issue certificates; provide support and aftercare | Contract |
| Keep training, treatment and financial records; meet awarding body, insurance and tax requirements | Legal obligation, and contract |
| Send marketing emails and SMS about our brands, courses, products, offers and events | Consent (you can withdraw at any time) |
| Contact existing customers about similar products and services | Legitimate interests, with an easy way to opt out each time |
| Run events, issue event passes, and record offers given | Legitimate interests, and contract where you claim an offer |
| Share your record between Best You brands so we can serve you joined-up | Legitimate interests |
| Keep our websites secure, prevent fraud and misuse, and improve our services | Legitimate interests |
5. Health information
Where we collect health information for treatments or for models on practical courses, we do so to treat you safely, with your explicit consent or where it is needed to provide health and beauty care. We only share it with the practitioners and tutors who need it, and we never use it for marketing.
6. Who we share it with
Inside Best You Group as described in section 2. Outside the group, only with trusted service providers who act on our instructions and protect your information, including:
- Mailchimp (Intuit) for email marketing
- Our website hosting and email providers
- Payment providers such as PayPal, Stripe and Klarna, and finance providers if you apply for business finance
- Delivery and courier companies
- Awarding and accreditation bodies such as VTCT and ITEC, when you take a regulated qualification
- Our accountants, insurers and professional advisers
We may also share information where the law requires it, for example with HMRC or the police.
7. International transfers
Some providers, including Mailchimp, store information outside the UK, mainly in the United States. Where they do, we rely on UK-approved safeguards such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum.
8. How long we keep it
- Marketing details: until you unsubscribe, or after three years without any contact or activity from you.
- Event sign-ups and pass records: up to three years, then deleted or anonymised.
- Orders and financial records: six years after the end of the financial year, as tax law requires.
- Training and certificate records: for as long as awarding bodies require and so we can confirm your qualification, normally at least six years.
- Treatment records: for as long as our insurers and professional guidance require.
9. Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal information we hold about you
- correct information that is wrong or incomplete
- delete your information, where we no longer need to keep it
- restrict or object to how we use it, including for marketing
- move information you gave us to another organisation
- withdraw consent at any time, without affecting what we did before
Email support@bestyoutraining.co.uk and we will reply within one month. To stop marketing straight away, use the unsubscribe link in any of our emails or reply STOP to an SMS.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
10. Cookies
Our websites use cookies that are needed for them to work, such as keeping you logged in, remembering your basket, or keeping your event pass on your device. Where a site also uses analytics or advertising cookies, it will ask for your permission first and you can change your choice at any time.
11. Children
Our websites and marketing are for adults. Some courses accept learners aged 16 and over; where we hold information about learners under 18 we only use it to provide their training and do not send them marketing.
12. Changes to this policy
We may update this policy from time to time. The latest version will always be on our websites, with the date it was last updated.
